The MILD Group – Client Accounts and Office Assistant

The MILD Group, a leading group of book businesses based in central London, is looking for a numerate and meticulous Client Accounts and Office Assistant.

The successful candidate will support our client accounts and royalties work for our copyright licencing company, The Marsh Agency, on behalf of our list of high profile, international clients. This is an excellent opportunity to enter into the client accounts profession and gain experience in this fundamental area of the book business. Additionally, the candidate will provide office administrative support across the group of four companies, supporting the wider busy team of colleagues to ensure the smooth running of the office.

As a client accounts assistant the role involves working alongside our experienced client accounts manager to ensure the timely and accurate administration of client accounts:

  • checking and entering of earning and unearned royalty statements on to a dedicated publishing software package
  • resolving queries on possible errors on royalty statements
  • checking statements against contracts
  • raising royalty invoices where necessary
  • run overdue UK/ foreign advances and royalties reports and liaise with agents and publishers regarding outstanding payments
  • run overdue UK/ foreign statements reports and liaise with agents and publishers regarding these
  • run overdue UK/ foreign contracts reports and liaise with agents and publishers regarding expired licences
  • checking if tax reduction/ exemption forms are necessary to perform any of the above functions
  • collating, scanning and filing royalty statements for clients
  • scanning and filing contracts
  • further general assistance with all accounts and royalty income processing work

As office assistant the role also involves:

  • maintaining office and HR records across the group of companies
  • providing office management support for the group liaising with our various suppliers including but not limited to: mobile phones, stationery, shredder, postage and franking

The person:

  • someone who enjoys and is confident working with numbers
  • someone who is IT literate with a good knowledge of Microsoft Office products, is confident working with databases and spreadsheets
  • ability to work calmly and precisely under pressure
  • necessary adherence and appreciation of confidentiality and protocol
  • excellent administrative and organisational skills
  • excellent accuracy and attention to detail
  • excellent written and spoken communication skills
  • excellent time management skills
  • practical approach to problem solving and a hands-on attitude
